The Project Assistant plays a vital role in the successful execution of an upcoming high-profile project.

As a Project Assistant  you will be responsible for providing comprehensive project coordination and support, and for the end-to-end process of managing project-related staff, administration and HR processes.

Responsibilities:

  • Assist the Senior Project Lead in coordinating all project activities, ensuring timelines and tasks are adhered to, and facilitating effective communication within the team.

  • Recruit, onboard, and manage temporary freelance staff for the project, ensuring alignment with project needs and company standards.

  • Coordinate travel schedules, shifts, and work assignments for temporary staff, optimizing resource utilization and ensuring smooth operations.

  • Handle administrative tasks, including documentation, contracts, invoicing, and other project-related paperwork.

  • Collaborate with cross-functional teams to support project planning and execution

  • Assist in coordinating project schedules, tasks, and resources.

  • Contribute to project documentation, reports, and presentations

 Key Characteristics

  • Minimum of 3 years experience in event coordination, project administration and staffing management or HR.

  • Demonstrated track record and ability to manage the recruitment and onboarding and staff, coordination of related schedules and processes and administration.

  • Proficiency in project management tools and software, and digital tools for recruitment management of project-based staff.

  • Strong organizational and multitasking skills.

  • Excellent communication and interpersonal abilities.

  • Problem-solving skills and adaptability in fast-paced environments.

  • Attention to detail and commitment to delivering high-quality work.

  • Ability and commitment to work with and contribute to agile digital workflows

  • Strong communication skills, fluent English language capabilities and ability to work in fast-moving teams. Arabic language capabilities are beneficial.

  • Events experience is a must.
