Our client is an established international Event Technology organisation operating in a fast-paced, project-driven environment. The company is seeking an experienced Head of Business Administration C Office Management to lead its business administration function and oversee the effective day-to-day management of its Dubai office.
This is a senior, hands-on role with responsibility for leading the administration team, maintaining an efficient and professional workplace, and ensuring that the administrative infrastructure of the business supports its commercial and operational objectives.
Key Responsibilities
Business Administration Leadership
- Lead the business administration function, ensuring that it provides an efficient, responsive and professional service to the organisation.
- Manage, support and develop the administration team, establishing clear responsibilities, service standards and performance expectations.
- Allocate workloads across the team and ensure appropriate administrative coverage during periods of leave, increased activity or operational demand.
- Review existing administrative processes and introduce improvements that increase efficiency, consistency and accountability.
- Establish documented procedures, approval workflows and service standards across the department.
- Ensure the team maintains accurate records, completes tasks within agreed timescales and communicates effectively with internal stakeholders.
- Act as the escalation point for complex or sensitive administrative matters.
- Develop the capability of the team through coaching, training and regular feedback.
- Build a service-oriented culture based on professionalism, ownership, accuracy and continuous improvement.
Office Management
- Take overall responsibility for the efficient day-to-day operation of the Dubai office.
- Ensure the workplace remains organised, professional, safe and appropriately equipped.
- Oversee reception, visitor management, meeting rooms, shared spaces and general office presentation.
- Manage office supplies, equipment, furniture and other workplace resources.
- Coordinate office maintenance, cleaning, security, access control and facilities-related services.
- Ensure workplace issues are identified and resolved promptly with minimal disruption to employees.
- Manage office moves, refurbishments, workspace changes and improvement projects when required.
- Maintain appropriate office procedures covering access, security, emergencies and business continuity.
- Coordinate office opening and closing arrangements and ensure adequate administrative coverage.
Regional and Global Coordination
- Provide administrative leadership and support across the wider region when required.
- Build effective relationships with colleagues in regional and international offices.
- Act as a key liaison between the Dubai office and relevant global corporate functions.
- Support the implementation of global policies, systems and administrative initiatives within the region.
- Ensure local and regional requirements are clearly communicated to global stakeholders.
- Promote consistency in administrative processes while allowing for local operational and regulatory requirements.
